Creating a signature in Word to add to your letters
Updated Oct 21st, 2026
Who is this guide for?
Any Users
This guide will take you through adding a scanned image of your signature into your local copy of Word. This can then be easily used in any Word document, inside or outside of Osprey
Create your Quick Part
- Insert the signature image into a blank document (Insert > Pictures).
- If you want, add the typed name and job title underneath.
- Select the image and any text with it.
- Go to Insert > Quick Parts > AutoText > Save Selection to AutoText Gallery.
- Give it a short name, such as “mysig”. Leave “Save in” as Normal.dotm so it’s available in every document.
- When you close Word and it asks whether to save changes to Normal or Building Blocks, click Save.
Use your Quick Part to add your signature into any document
Now that you have saved your signature as a Quick Part, it can be used in any document, whether it is an Osprey standard letter, or a document saved on your local system.
- Open the document you wish to insert the signature into.
- Position your cursor where you would like the signature to appear.
- Go to Insert > Quick Parts > AutoText and click the signature.
